So, you have booked your retreat – now what?

Once Your Reservation Is Confirmed

Now that your reservation is confirmed, we’re happy to post your retreat on our website to help you publicize it. Just email us with a brief description of your retreat and a link to your website.

Please provide your guests with our FAQ sheet & Transportation information.

Two Months Prior To Arrival

By now you are beginning to get a sense of how many people might attend, and at two months out, Land of Medicine Buddha opens up all available rooms to individual bookings. As you confirm attendees, you can add more rooms to your reservation, if available.

At this time, you will receive a setup form to fill out with all the information we need to know about your event to make sure it is successful.

Two Weeks Prior To Arrival

Send back the completed setup sheet, room chart and retreat schedule.

We will review your setup sheet to make sure we can accommodate all your needs and clarify any questions we have about your requests, including special food requests and meeting room set up needs.

We will review your retreat schedule, checking it to verify meal times are correct and that there is no conflict with other events or retreats happening at the same time.

The Week Before You Arrive

As your retreat approaches, we will finalize the details and guest count for your retreat. A final invoice will be prepared for your arrival.

The Day You Arrive

Please arrive at least one hour before your guests are scheduled to arrive. Check in with the Retreat Support Coordinator upon your arrival to verify your room chart and meal times and prepare for your guests’ arrivals.

Your meeting room will be ready by 3:00pm on the day of your arrival (unless otherwise agreed upon and noted on your setup sheet). Please test any AV equipment upon arrival (if applicable).

Your guest rooms will be ready by 4:00pm the day of your arrival (unless otherwise agreed upon).

Please assign a member of your group to be responsible for checking in your group. This consists of handing out room keys, handing out center information and having each member of your group sign a waiver form.

During check in, the group coordinator should meet with the Retreat Support Coordinator to pay the balance of the final invoice and prepare for guests who are arriving late.

Any guests staying in the yurt village or camping must arrive by 5:00 pm so that we can take them to the campsite and they have time to set up before dark.

During Your Stay

Check in with the Retreat Support Coordinator for any adjustments in the groups needs.

Our chefs prepare delicious, healthy meals, presented according to the schedule you provide. Please be on time for meals.

Final Day

  • Take a few minutes to fill out our guest surveys to let us know what you thought of your experience at Land of Medicine Buddha.
  • Turn off all lights and heaters in lodging and meeting rooms.
  • Check out time for lodging is 11:00 am. There is a $25.00 per person charge for late check out.
  • Check in with the Retreat Support Coordinator to make sure nothing has been left behind by your group.
